Privacy Notice
We at CRIStal Health Limited (“Akrivia Health”) take our responsibilities under the UK GDPR and Data Protection Act 2018 seriously, and privacy and responsible data use are central to how we run our business.
This Privacy Notice tells you about how we use your personal data to provide you with access to our industry platform and keep you up to date with new and upcoming activities. It also tells you about how we use your personal data if we employ you. If you take part in one of our research programmes, such as GlobalMinds, that programme’s own privacy notice explains how your data is used there.
Personal data is data that relates to you, and which can be used to identify you, either by itself or by combining it with other data. Akrivia Health uses personal data to communicate with our customers, employ individuals to work for us, market our services, and run research programmes. Akrivia also handles personal data on behalf of other organisations, but this is not included in this Privacy Notice. Where we refer to “we”, “our”, or “us”, we are referring to Akrivia Health.

Identity of the Data Controller
Unless stated otherwise, Akrivia Health is the data controller for the processing of personal data described in this Privacy Notice.
Akrivia Health is a trading name of CRIStal Health Limited, a company registered in England and Wales under company number 11892096, with its registered office at 8 Hollybush Row, Oxford, OX1 1JH, United Kingdom.
Akrivia Health is registered with the UK Information Commissioner’s Office under registration reference ZA522852.
Employees
What data do you collect & use?
We use data about you to fulfil our obligations to you as an employer and to support you in your role. We collect data directly from you, as well as creating data during the course of your employment. We may also obtain personal data from third parties where necessary, such as referees and government authorities.
This includes, but is not limited to:
- Data that identifies you, such as your name and date of birth
- Contact data like your home address, telephone number, and email address
- Financial data including bank details, pension information, and national insurance number
- Employment-related data such as your role, qualifications and employment history
- Records relating to your use of our systems and communications
- Data relating to leave, including annual leave and family-related leave
- Medical and health-related data, including sickness and occupational health requirements
- Images, video, and audio recordings
- Information relating to your dependents where required for employee benefits
- Diversity and equality monitoring data, such as your ethnicity and experience of relevant health conditions, where you act as a PPIE advisor
How do you use the data you collect?
We use your personal data to manage your employment and support our business operations. This includes, but is not limited to:
- Using financial data to ensure you are paid and taxed correctly
- Enrolling you with our pension provider and making contributions unless you opt out
- Managing expenses, reimbursements, and other work-related financial transactions
- Using your data to manage and assess your performance in relation to your role
- Ensuring you receive appropriate training for your role
- Understanding how we can support you if you have a disability or impairment at work.
- Ensuring you are working in a suitable and safe environment
- Maintaining emergency contact information and responding appropriately in emergency situations
- Verifying your identity and right to work in the UK
- Managing access to our systems, applications, and facilities
- Monitoring use of our systems and communications to ensure security, compliance, and appropriate use
- Investigating incidents and concerns
- Recording and analysing working time and activity to support project management, resource planning, and client delivery
- Using employment and payroll data for financial planning and forecasting
- Using employment data to support internal reporting
- Facilitating internal communication and collaboration between employees
- Using images, video, and audio recordings for internal communication, training, and external communications such as marketing and research outputs
- Acknowledging your contribution to research, publications, and organisational outputs
- Administering employee benefits, including healthcare, pension schemes, and related programmes
How do you comply with the law?
Data protection law requires organisations to have a lawful basis for processing personal data. The specific ways we use your data are described above. Depending on those uses, we rely on the following lawful bases:
- Contractual necessity: We process your personal data where it is necessary to fulfil your contract of employment with us, including to manage your employment, pay you, and provide you with employment-related benefits and support. If you do not provide the information we request, we may not be able to meet our contractual obligations to you.
- Legal obligation: We are required to process certain personal data to comply with our legal obligations, including employment, tax, and health and safety laws. If you do not provide this information, we may not be able to comply with these obligations.
- Legitimate interests: We rely on our legitimate interests to use your data in ways you would reasonably expect as part of your employment, including to operate and improve our business, ensure security and compliance, and support internal management and planning activities.
- Vital interests: We may use your personal data in emergency situations where it is necessary to protect your vital interests or those of another person.
- Special category data: Some of the personal data we process, such as information about your health, is considered special category data. We process this data where it is necessary to carry out our obligations in employment law, assess your working capacity, provide workplace support, and comply with health and safety requirements. Where you act as a PPIE (Public and Patient Involvement and Engagement) advisor, we rely on your explicit consent to use certain types of special category data, such as your ethnicity and experience of relevant health conditions, to help ensure diverse and relevant representation in our PPIE work.
Do you share my data?
We share your personal data with other organisations only where necessary and on a need-to-know basis.
This includes:
- HMRC, to ensure you are taxed correctly
- External auditors
- Providers of employee benefits, including healthcare and pension schemes
- Office space providers, to enable access to facilities
- Academic publishers, where employees are acknowledged in research outputs
We may also share your data with emergency services or other authorities where necessary to protect someone’s life.
We use a number of data processors to handle your personal data on our behalf, including providers of IT systems, collaboration tools, and HR and payroll platforms. These providers are contractually required to act only on our instructions and to protect your data.
How long do you keep my data for?
We keep your personal data during your employment and for an appropriate period afterwards.
Employee data is typically retained for 6 years after you stop working for us, although some information may be kept for longer where required for legal or regulatory purposes.
If you apply for a job with us and are unfortunately unsuccessful, we will normally erase your data within 6 months of the end of the recruitment process.
We may retain anonymised data for longer. This data cannot identify you and is used to support analysis and organisational learning.
GlobalMinds
Akrivia Health is the Sponsor and Data Controller for the GlobalMinds research programme. For details of how personal data is used within GlobalMinds, please see the GlobalMinds Privacy Notice.
Clients & Partners
We process a limited amount of personal data relating to the employees of our clients and partners that is separate from the data that we process as a data processor.
What data do you collect & use?
We use data about you to fulfil our obligations to you, including business communications with you, and the provision of services to users, this includes:
- Data that identifies you, basic details such us name, gender, date of birth.
- Contact data like address, telephone number, and email address.
- Login credentials to our industry platform.
- Security log data from our industry platform.
How do you use the data you collect?
We use your data to fulfil our contractual obligations, to ensure that you are able to use the services that Akrivia Health provides, that the industry platform is secure, and also to provide you with the opportunity to access the additional services that may be outside of the scope of our initial contract.
We maintain a publicly accessible register of research projects using data from the Akrivia Health Research Database, which includes the name of the project’s Chief Investigator.
How do you comply with the law?
Data protection law requires organisations to have a legal basis for processing personal data. We rely on a legitimate interest to collect and use data like names and contact details so that we can communicate with you and fulfil our contractual obligations. We rely on a legitimate interest for collecting security log data so that we can monitor and safeguard against security threats.
Do you share my data?
We do not share your name or contact data with other data controllers unless we have your permission. We never share your login credentials or security log data.
We use some data processors to handle your personal data on our behalf. We have contracts in place with these recipients, and they are only allowed to use your data in accordance with our specific instructions. For example, we use Jira (provided by Atlassian) to handle support requests, which will involve processing the requestor’s name and contact details.
How long do you keep my data for?
We keep your personal data for the duration of the contract to provide services, and 6 years after the end of the contract.
Social Media
What data do you collect & use?
If you interact with our social media business pages, for example on Facebook, Instagram or LinkedIn, we may collect the following categories of information:
- Data that identifies you, such as your name and social media identifier
- Demographic information, such as your age, gender and location
- User generated social media content, such as your comments on Akrivia’s social media posts, or your posts that mention Akrivia or related search terms
- Social media metadata, such as your number of social media followers and your number of posts
- We may also use your special category data, such as details about your health status, but only if you choose to share this with us in a comment or message, for example if you are interested in participating in Akrivia-led research
Where did the data come from?
We will usually obtain your personal data from the social media platform you use, rather than directly from you. Most of the data will be taken from the information you have included in your social media profile.
The social media platforms we use are:
- Facebook and Instagram, both operated by Meta Platforms, Inc.
- LinkedIn, operated by LinkedIn Ireland Unlimited Company
Akrivia and the operators of the social media platforms are joint data controllers for our social media pages, which means that we share legal responsibility for the use of your personal data. Akrivia has arrangements in place with Meta and LinkedIn that describes how each company meets its own obligations to you under data protection law.

How do you use the data you collect?
We use your data to communicate and interact with you on the social media platform, to understand more about the people who visit Akrivia’s social media pages, and to understand the reach of Akrivia’s social media posts. We may also use your data if you make a post that mentions Akrivia or its activities.
Meta and LinkedIn will provide us with statistics about the people who have interacted with our pages and posts. This will be aggregated information only, meaning that Akrivia will not be able to identify any individuals.
How do you comply with the law?
Akrivia relies on our legitimate interests to use personal data for the purpose of our social media pages. We have a legitimate interest in promoting our activities, communicating with the public, and understanding the people who interact with us online.
Do you share my data?
We receive data from the social media platforms we use, but they don’t receive any personal data from Akrivia.
We use some data processors to handle your personal data on our behalf. We have contracts in place with these recipients, and they are only allowed to use your data in accordance with our specific instructions. For example, we use cloud-based software provided by HootSuite to administer our social media pages.
How long do you keep my data for?
Akrivia keeps information that identifies you and your interactions with us on social media for 12 months, at which point it will be securely destroyed.
We keep statistical information, which can’t be used to identify individuals, for as long as we have a business need for it.
Marketing & Communications
What data do you collect & use?
We use data about you to keep you informed about Akrivia’s products and services. We collect data directly from you and from other sources.
This includes:
- Data that identifies you, basic details such as name and job title.
- Professional contact data, such as your work telephone number and email address.
- The institutions or companies that you may be associated with or work for.
- Photographs for marketing and publicity purposes.
Where did the data come from?
We collect data from you directly in the course of introductions, for example when you contact us by phone, email or via our website, or when we meet you in person. We also collect data from publicly available sources like LinkedIn if we think you will be interested in our services and work.
How do you use the data you collect?
We use your personal data to determine whether you would be interested to learn about Akrivia, to communicate with you, and to provide you with the opportunity to benefit from our services and the solutions we offer.
We use photographs for marketing and publicity purposes.
How do you comply with the law?
Akrivia relies on our legitimate interests to use personal data, including photography, for marketing purposes. You can object to this at any time by emailing DPO@akriviahealth.com. If you object, we will keep a skeleton record using the minimum amount of data necessary to ensure that we do not contact you again in future.
Do you share my data?
We do not share your data with third parties. We do use data processors to publish data, including social media.
How long do you keep my data for?
Akrivia keeps contact information data for up to 18 months after our last contact with you.
We retain photos for 5 years after the date the photo was taken.
CCTV
Akrivia operates CCTV security cameras at our Oxford office for the purposes of safety, security, and the prevention and detection of crime. We do this because we have a legitimate interest in protecting our employees, visitors, and our office space and equipment.
CCTV recordings are kept for a limited time, after which they are deleted automatically. We may keep extracts of recorded footage for longer periods of time in order to investigate and resolve any suspected incidents; these extracts will only be kept for as long as necessary, after which they will be deleted.
There are no recipients of personal data relating to routine CCTV recordings. In specific circumstances, for example if there is a safety incident or a suspected criminal offence captured by CCTV, personal data may be shared with law enforcement agencies or other competent authorities. When data is shared we will seek to share the minimum amount necessary.
Legal & Regulatory Obligations
We may receive requests for data from courts, law enforcement agencies, regulatory agencies, and other public and government authorities, which may include such authorities outside your country of residence. When we receive these requests we will inform you as soon as possible. There are circumstances in which we cannot inform you that data is used or shared, because it may prejudice the work of law enforcement agencies and other organisations.
We may be required to use and keep personal data for legal reasons, such as the prevention, detection, or investigation of crime or fraud. We may also use personal data to meet our internal and external audit requirements, and data security purposes.
Sharing Your Personal Data Overseas
Akrivia Health is based in the United Kingdom, but under specific circumstances your personal data may be shared with an organisation in another country or territory. We will only do this if one or more of the following applies:
- The receiving organisation is in a country or territory that is considered by the UK Government to adequately protect personal data
- The receiving organisation participates in a framework or arrangement that is considered by the UK Government to adequately protect personal data
- The receiving organisation is bound by standard contractual clauses to adequately protect personal data, and Akrivia has assessed the risk involved in transferring the data to the recipient’s country or territory
- The transfer is necessary to perform or enter into a contract with you, or to perform a contract with a third party where the contract is in your interest
- We have informed you about the transfer and you have provided your consent
- In an emergency, we may transfer your data overseas if the transfer is necessary to protect your vital interests, or the vital interests of another person, and you are unable to provide your consent
- The transfer is necessary for an important reason of public interest that is recognised in UK law

Data We Process on Behalf of NHS Trusts
Akrivia Health acts as a data processor for multiple NHS Trusts. This means that we process personal data on behalf of those Trusts, including data relating to patients, employees, and NHS platform users.
The NHS Trusts are data controllers, meaning they are responsible for deciding how and why your personal data is used, and for informing you about that use. For further information, please refer to the relevant NHS Trust’s privacy notice.
Your Rights
Under UK data protection law, you have several rights regarding your personal data. Some rights apply only in specific circumstances and may be subject to exemptions. If we rely on any exemptions when responding to your request, we will explain why.

- Access to personal data: You have the right to request a copy of the personal data we hold about you, and other information about how we use your personal data. Please include enough information to identify yourself and help us locate your data.
- Right to rectification (correction): If any personal data we hold is inaccurate or incomplete, you can ask us to correct it.
- Right to withdraw consent: Where we rely on your consent to process your data, you can withdraw it at any time. To opt out of marketing, use the unsubscribe link in our emails or contact us with your preferences.
- Right of erasure (right to be forgotten): You may request that we delete your personal data if you believe it is no longer needed. This right is not absolute, and we will assess each request individually. If we cannot delete your data, we will explain why.
- Right to data portability: You can request your personal data in a digital format to transfer to another organisation, where this is based on your consent or a contract with you.
- Right to restrict processing: In certain cases, you can ask us to suspend the processing of your personal data. We may still store the data, but any other use will require your consent. However, we may still process your data if it is necessary for legal proceedings, to safeguard the rights of others, or for reasons of important public interest.
- Right to object to processing: You can object to our processing of your data where we rely on legitimate interests. We may continue processing if we have compelling reasons or need the data for legal claims. We will explain our justification if we proceed.
